Terms and Conditions of Building Usage

 

General Information:

The Old Medical School Building, (OMS) is available for use by organizations and individuals subject to the guidelines and restrictions detailed below. The facility is available for rental Monday thru Sunday. 

The main area available for use are the Museum Room and Walnut Room. All rentals are for an eight hour period. Additional hours before midnight can be added for $80 per hour. No party shall remain on premises beyond midnight unless special accommodations are made in advance. Any party that remains past 12AM will be charged $150 per hour.

50% of Rental Fee balance is due 90 days prior to event date. Remaining 50% balance is due 30 days prior to event date. The remaining 50% balance and set up information is due 30 days prior to the event date. Failure to do so may result in forfeiture of reservation.

 

Capacity: 

The capacity of our facility is 270 people. OMS Walnut Room can hold up to 200 people for a seated dinner and the Museum Room can hold up to 70. 

 

Services: 

In addition to the use of the building, the following services will be provided by the OMS:

 

Security: 

One guard located on the first floor of the building will be in attendance during the event. This cost of security is included in the rental price.

Audio-Visual Equipment: When using the space for business meetings requiring the use of our podium and/or projector screen it is the client''s option to have an outside company approved by the OMS. We offer use of our drop down and/or tripod screen. 

 

Parking:

For weekend events 35 parking spots in our lot will be available for your use. The YMCA parking garage is also located directly next to the OMS building. Street parking is available on First Street and Chestnut Street. Street parking is free weekday evenings after 6 pm and all day on Saturday and Sunday.

 

Pre-Event Walk-Through: 

One month befor the scheduled event, the renter and the OMS Event Coordinator shall have a pre-event walk through to review plans for the event. The final rental payment is due at this time also.

During the schedule walk-through all parties should discuss in detail plans for food, decorations, music, layout, placement of furniture, staffing levels, additional services require, transportation, delivery and pick-up, and any other facet of the event affecting the OMS. Special attention should be given to post-event activities such as the cleaning and pick-up of event related materials. It is particularly important that all event planners for the Lessee to be present at the pre-event walk-through and be acquainted with the role of the representative of the OMS.
